Food manufacturing software for a small business: what the rules ask

A small food maker tracing lots for FSMA 204 can start with BatchBuddy Professional, up to 5 members at $349 a month, billed monthly, or $3,490 a year, billed annually. Part 117 is the food CGMP rule, which FDA established in September 2015. 21 CFR 11.1 says part 11 does not apply to records required by part 117.

FSMA 204 is the food traceability rule. FDA's page says its original compliance date was January 20, 2026, that FDA proposed July 20, 2028, and that Congress directed FDA not to enforce it before that date. It covers foods on the Food Traceability List only, and asks covered persons to provide information to FDA within 24 hours, or within some reasonable time FDA has agreed to.

The Try BatchBuddy button opens BatchBuddy's pricing section, where Professional is one of four plan cards. This guide covers records and lot tracing, not stock counts.

BatchBuddy Professional for lot tracing and recall drills

A recall simulation drill is a timed trace of a lot forward to customers and back to suppliers, saved as a signed report. BatchBuddy's Professional card lists full lot traceability, recall simulation drill reports and "FSMA 204-aligned" lot traceability, and its recall page says Professional, Manufacturer and Enterprise include unlimited drills. Professional covers up to 5 members, with QuickBooks and Shopify.

Take a 12-person food maker. If only the people who record lots and sign need a seat, Professional's 5 members may cover them; if all 12 need a login, the seat limit moves the maker to Manufacturer, at $749 a month, billed monthly, or $7,490 a year, billed annually, for up to 15 members.

BatchBuddy's plan cards list electronic batch records on Manufacturer, while other vendor pages differ. Its terms say the software does not make operations compliant on its own. BatchBuddy gives a food maker 14 days to try it, with no credit card asked for at the start. See BatchBuddy pricing for all four plans.

When Wherefour, Katana or BatchMaster fits better

  • Wherefour for FSMA 204 tools and mock recalls on a custom quote. Its pricing page says it has no long-term contracts, and its supplements page says it generates recall reports from lot codes, batch records and shipment history. See BatchBuddy vs Wherefour.
  • Katana for batch numbers and expiration dates on a Free plan up to 30 SKUs; its paid route is Advantage, a custom annual contract.
  • BatchMaster for a growing mid-market maker that private-labels, co-packs or produces its own line of prepared food. It offers cloud and on-premise software, calls its food documentation aligned with FDA, FSMA, HACCP and cGMP requirements, and points to a demo.
