Batch record review checklist: six checks before release
This batch record review checklist for a dietary supplement has six checks, one per row. Use the table as a batch record review template. A batch manufacturing record review checklist is the same job under another name; 21 CFR 111 calls the record the batch production record, and 21 CFR 211, the rule for drugs, is not covered here.
| Check | What to confirm | Section |
|---|---|---|
| Master match | The record follows its master record and every step was performed | 21 CFR 111.255(c) |
| Lots and weights | Batch, lot or control number; identity and weight of each component | 21 CFR 111.260(a), (e) |
| Yield and results | Actual yield and percentage of theoretical yield, within the master record's limits; test results; documentation that the finished supplement meets specifications | 21 CFR 111.260(f), (h), (i); 111.210(f) |
| Second-person checks | Manual weighing and adding each verified by a second person | 21 CFR 111.210(h)(3)(ii) |
| Initials | Initials of the persons performing each step are present | 21 CFR 111.260(j)(2) |
| Quality control release | Reviewed and signed, then approved and released, or rejected | 21 CFR 111.123(a)(8); 111.140(b)(2) |
The list works on paper. BatchBuddy's electronic batch records page puts the release step in software; the Try BatchBuddy button opens its pricing section.

Try BatchBuddy →Who reviews and who signs
21 CFR 111.123(a) has quality control personnel review and approve all batch production-related records, and approve and release, or reject, each finished batch for distribution. 21 CFR 111.260(l) asks for documentation at the time of performance that quality control reviewed the batch production record, approved or rejected any reprocessing or repackaging, and approved and released, or rejected, the batch.
21 CFR 111.140(b)(2) says the review record carries the signature of the person doing the review, approval or rejection, and the date it was performed.
When a yield or a step falls outside limits
The master manufacturing record sets the maximum and minimum percentages of theoretical yield beyond which a deviation investigation of a batch is necessary (21 CFR 111.210(f)). 21 CFR 111.113(a)(2) names a batch that deviates from its master record, including a step not completed, as a case for a material review and disposition decision. 21 CFR 111.113(c) says to document that decision at the time of performance.
21 CFR 111.140(b)(3) puts that documentation in the batch production record. Quality control personnel must not approve and release a batch that does not meet all product specifications (21 CFR 111.123(b)(2)).
What software changes about review
BatchBuddy's electronic batch records page puts electronic batch records on the Manufacturer plan, up to 15 members at $749 a month, billed monthly, as read on November 1, 2026, and says batches cannot be released to shipping without a QA e-signature; the best electronic batch record software guide sets it beside InstantGMP and BatchMaster. Other vendor pages differ on the plan.
BatchBuddy also says a finished lot shows zero units available for shipment until a second, distinct reviewer signs off, and its home page ties separate supervisor approval to Enterprise, so signature controls differ by plan; ask. BatchBuddy documents a second reviewer at release; the pages read do not describe a second person verifying each weigh-in, as 21 CFR 111.210(h)(3)(ii) words it for manual operations.
A maker who reviews on paper and keeps every check above needs no tool. Move to software when the release hold should be built in, not remembered; BatchBuddy's 14-day free trial needs no credit card. The master manufacturing record template covers the master side.
