InstantGMP: annual modules with a printed price

InstantGMP prices its Batch Records module at $20,000 a year and its electronic batch record (EBR) system at $28,900 a year, each with the first five users; users beyond five and services cost extra, at rates the pages do not state.

BatchBuddy's Manufacturer is $7,490 a year, billed annually, for a team of up to 15 members, and BatchBuddy says it has no per-user charges. The scopes differ: one module against a plan card.

InstantGMP says it does IQ and OQ, installation and operation qualification, on its cloud version, and that users are responsible for PQ, performance qualification. Its own Part 11 wording varies by page, from "aligned" to "compliant." No trial is listed. BatchBuddy vs InstantGMP compares the two.

Wherefour and QT9: priced by quote

Wherefour says it publishes no price list, bills monthly, quarterly or annually, and has no long-term contracts. It describes batch scheduling, yield tracking, FSMA 204 tools, mock recalls and certificate of analysis (COA) management, and says it works in co-packer settings. Its pricing and supplements pages mention neither Part 11 nor electronic signatures. A quote starts with a 20-minute call. See BatchBuddy vs Wherefour.

QT9 quotes by number of users, product (quality management system or ERP) and deployment, and lists annual fees for concurrent licenses and one-time fees for implementation and training. Its trial page says "No credit card required." and offers a QMS trial and an ERP trial, with no length stated. QT9 words its own status as "Pre-Validated (IQ/OQ/PQ)" and "FDA 21 CFR Part 11 Compliant." Its industry list names Cosmetics and Foods & Beverages but no dietary supplement entry.

BatchMaster and Katana: ERP and inventory-led routes

BatchMaster says it offers cloud and on-premise software for growing, mid-market recipe and formula manufacturers. Its home page shows no price, and the next step is Contact Us or Request a Demo. Its nutraceutical page says it handles electronic batch records, deviations, SOPs and electronic signatures.

Katana offers a Free plan for up to 30 SKUs and sells Advantage as a custom annual contract. Its pages name lot, serial number and expiry tracking, and none of the Katana pages read names a batch production record. See Katana MRP alternatives.

When paper or a spreadsheet is the better alternative

For dietary supplements, 21 CFR 111.605(b) lets records be kept as original records, true copies or electronic records, and 111.605(c) says "All electronic records must comply with part 11 of this chapter." A spreadsheet is an electronic record, so it is not a free pass; paper records kept as originals are the plain alternative. The batch record template lists the fields the rule asks a supplement batch record to hold.

For a cosmetics maker choosing among these alternatives, FDA's page on the Modernization of Cosmetics Regulation Act of 2022 (MoCRA) says the law requires FDA to establish GMP regulations for cosmetic facilities and lists a draft guidance. It prints no cosmetics batch record fields, so nothing on it moves a maker off a spreadsheet or paper record to any of these tools. BatchBuddy's FAQ gives a case that differs: a retailer asking for a certificate of analysis for a shipped batch. Cosmetic manufacturing software covers MoCRA for a small line.
