BatchBuddy vs InstantGMP: the main difference is how you buy
Both vendors sell cloud software for batch records and GMP paperwork, and both name supplement, cosmetics and food makers among their customers. The split is in the buying. BatchBuddy publishes four plans with a monthly view, an annual view and a 14-day free trial. InstantGMP publishes annual prices per module, includes five users with each module and sends buyers to a demo.
Both vendors' pages were read on November 1, 2026. Amounts are left to those pages.
Side by side: what each vendor's pages state
- Batch records: BatchBuddy's plan cards include electronic batch records from its Manufacturer plan up, though its trust center lists them from Professional, so confirm the plan. InstantGMP sells a Batch Records module for electronic master and batch production records with e-signatures and version control, and a standalone electronic batch record product.
- Quality beyond batches: BatchBuddy lists CAPA, certificates of analysis and training records on its Manufacturer plan and an audit trail on every plan. InstantGMP sells separate modules for quality management, quality control, document management, learning management, inventory and room and equipment logs.
- Part 11 wording: BatchBuddy calls its position aligned and self-assessed. InstantGMP describes its electronic signatures and audit trails as meeting Part 11 and its standalone batch record product as compliant. Both are vendor wording, so ask each for its validation documents.
- Validation: InstantGMP says it performs installation and operational qualification on its cloud version and supplies that documentation, while the user handles performance qualification. BatchBuddy publishes a free validation pack page and lists a GAMP 5 validation support package, with IQ, OQ and PQ templates, as an Enterprise item requested from its team.
- Clients and co-packers: both vendors describe keeping each client's materials and records apart. BatchBuddy tags formulas by client brand, and InstantGMP tracks projects and clients separately.
- Wider scope: BatchBuddy also sells planning, invoicing, shipping and a client portal. InstantGMP also lists manufacturing execution, laboratory information management and an AI insights feature.
How each vendor bills: plans, modules and fees
- BatchBuddy: four plans billed monthly or annually, a client portal add-on on the second plan, no setup fees listed, and terms that renew automatically with fees non-refundable except as required by law.
- InstantGMP: each module is priced and licensed on its own for a year, each includes five users, extra users are billed per user per year, and consulting, integrations, SOPs and on-site installation are quoted separately. The vendor says its pre-configured bundles cost less than the same modules bought one by one.
- What that means for a small maker: a monthly ladder lets you start with one workspace and move up, while a module license suits a team that already knows which modules it needs and wants vendor services. The BatchBuddy pricing guide lists what each tier holds.
Which to choose: use cases for each
- Choose BatchBuddy if you are a very small maker, want to try the product before talking to anyone, and want one self-serve plan ladder that runs from a single workspace to unlimited seats.
- Choose InstantGMP if you want a modular platform with quality control, document control and training modules, vendor-run implementation and a supplier that says it has served small and mid-sized manufacturers since 2004.
- Choose neither yet if paper or spreadsheets still cover your batch volume. The rule text lets required records be kept as original records, as the supplement batch record guide explains.
Questions to ask both vendors before you pay
- Which plan or module holds the master record, the batch production record and the signatures I need? Get it in writing.
- What do the electronic signatures and audit trail include on my plan, and which validation documents come with it?
- What do I receive if I cancel, in what format and in what time frame?
- What do implementation, extra users and add-ons cost on top of the headline price?
- Can I run a real batch through a trial or demo before I commit? The BatchBuddy explainer and the review cover the BatchBuddy side.
What this comparison can—and cannot—settle
This guide draws on BatchBuddy home page and pricing section, BatchBuddy electronic batch records page, BatchBuddy FAQ, BatchBuddy trust and compliance center. Merchant-controlled records describe the provider’s own capabilities, terms or standards; they do not independently validate those claims. Other cited records provide additional context. A different publisher or a research, regulatory or certification label does not by itself establish independence, relevance or product validation.
