BatchBuddy review: what it is and what it does
BatchBuddy is subscription software at batchbuddy.ai for supplement, food and cosmetics manufacturers. Its home page describes one workflow that links formulas, ingredient lots, production steps, quality checks and batch records, and it sells four plans named Formulator, Professional, Manufacturer and Enterprise.
The vendor also sells inventory planning, invoicing, shipping and a client portal. This review stays on the batch record and compliance side and reads the vendor's own pages, help articles and terms as of November 1, 2026. The supplement batch record software guide shows how it sits beside other routes.
Strengths: what the vendor's pages list
- Formula approval: the FAQ describes three states, Draft, Pending Approval and Approved, and says a production run can start only from an approved formula, which the vendor calls a locked master manufacturing record.
- Change control: according to the FAQ, a change to a locked record needs a formal change order approved by a different user, and the version number rises with each approved change.
- Lots and traceability: FIFO inventory management is listed on the entry plan and carried up, and full lot traceability with recall drill reports starts on the second plan.
- Spreadsheet import: the FAQ says ingredient lists and formulas can be uploaded as CSV files, which suits a maker moving off spreadsheets.
- Self-serve start: plans and a free trial are published on the site, and the sign-up page says every feature is unlocked for the 14-day trial and no credit card is required.
Limits: where electronic batch records and signatures start
The vendor's electronic batch records page is labeled Manufacturer plan and says electronic batch records are included in that plan and above, the third of four. The two entry plans list production run tracking with GMP controls instead.
Other pages from the same vendor read differently. The trust center lists electronic batch records as Professional and up, the trial sign-up form lists batch records and inventory under the Formulator plan, and the vendor's comparison page marks electronic batch records as included with both Formulator and Professional. Ask which plan holds the record you need and get the answer in writing before you pay.
Signature controls differ by plan as well. The home page ties re-authenticated electronic signatures and separate supervisor approval to the Enterprise plan, the top tier.
Risk to weigh: what Part 11 aligned does and does not mean
The trust page calls the product 21 CFR Part 11-aligned and says FDA does not certify software, so the vendor describes a self-assessed mapping of controls rather than a certification. The terms add that the software alone does not make a product or an operation compliant, and that you stay responsible for your own regulatory duties.
Read that as ordinary software terms. The system holds records and enforces steps, while your procedures, training and facility remain yours. The rule text on electronic records is set out in the master manufacturing record guide.
Plan and cost terms to read before you start
- Renewal: the terms say subscriptions renew automatically at the end of each billing cycle unless you cancel in account settings before the renewal date.
- Refunds: the terms say fees are non-refundable except as required by law.
- Price changes: the terms promise at least 30 days' notice by email before your next renewal.
- Your records: after termination you may request a copy of your content within 30 days.
- Trial and setup: the home page lists a 14-day free trial, cancel anytime, no setup fees and no long-term contracts. Plan contents are in the BatchBuddy pricing guide.
Who BatchBuddy fits, and who should pick something else
- Fits: a 1 to 25 person supplement, cosmetics or food maker, or a small co-packer, that keeps formulas and batch sheets in spreadsheets and wants step-controlled electronic records from a self-serve vendor.
- Consider InstantGMP if you want annual module licenses and services quoted separately; BatchBuddy vs InstantGMP sets the two side by side.
- Consider Wherefour if food traceability and guided onboarding under a custom quote matter more than a published plan ladder.
- Consider staying on paper for now if you make few batches: the rule text lets required records be kept as original records. The shortlist guide covers when software becomes worth a look.
The evidence behind this buying guidance
This guide draws on BatchBuddy home page and pricing section, BatchBuddy electronic batch records page, BatchBuddy free trial sign-up page, BatchBuddy FAQ. Merchant-controlled records describe the provider’s own capabilities, terms or standards; they do not independently validate those claims. Other cited records provide additional context. A different publisher or a research, regulatory or certification label does not by itself establish independence, relevance or product validation.
