Best electronic batch record software for small makers

Last reviewed November 1, 2026

Quick answerFor up to 15 members, pick BatchBuddy Manufacturer, $7,490 a year, billed annually, the card listing electronic batch records. InstantGMP's EBR system, $28,900 a year for the first 5 users, adds inventory and room logs.

Best electronic batch record software by team size

For a team of up to 15, the pick among electronic batch record software is BatchBuddy Manufacturer, at $7,490 a year, billed annually, or $749 a month, billed monthly. An electronic batch record (EBR) is a batch record kept electronically; BatchBuddy describes its own as a step-by-step form that stops an operator from skipping a step or leaving required data out. BatchBuddy's plan cards put electronic batch records on Manufacturer; other vendor pages differ.

InstantGMP and BatchMaster lead to a demo or a quote. The Try BatchBuddy button opens BatchBuddy's pricing section instead, where it says all plans include a 14-day free trial, with no credit card required.

Batch manufacturing record software and batch record management software are other names for the same tools. For dietary supplements, 21 CFR 111 calls the record a batch production record; 21 CFR 211, the rule for drugs, is another rule and is not covered here.

What BatchBuddy's records stop and what part 11 asks

A supplement maker reads electronic batch record software for GMP compliance against two rules. 21 CFR 111.605(c) says all electronic records must comply with part 11, and 21 CFR 11.10 lists the controls: validation of systems, limited system access, secure time-stamped audit trails, and record changes that do not obscure earlier entries. BatchBuddy says operators can't skip steps, sign on behalf of others or complete a record with missing data.

FDA does not certify software. BatchBuddy calls its Part 11 mapping aligned and self-assessed, and its terms say the software does not make a maker compliant on its own.

Signatures and release before shipping

BatchBuddy says a finished lot shows zero units available for shipment until a second, distinct reviewer signs off. Its Enterprise card lists HMAC e-signatures as Part 11 controls, and signature controls differ by plan, so ask which ones yours includes.

InstantGMP's pages say its signatures and audit trails "meet" Part 11, call them "aligned" elsewhere, and call its electronic batch records "compliant"; each is InstantGMP's own wording.

The yearly bill side by side

The table compares year with year. BatchBuddy has no per-user charge, and its own saving line for annual billing on Manufacturer reads $1,498. InstantGMP bills users beyond the first five at a rate its pages do not state, and quotes consulting, integrations, SOPs and on-site installation separately. See BatchBuddy pricing and BatchBuddy vs InstantGMP for the detail.

Take a 12-person supplement maker whose retailer has asked to see batch records. Manufacturer's 15 members cover all 12 on one price, while InstantGMP's price covers the first 5 users. Count who needs a seat to enter data and who needs to sign a release before comparing.

Pick Manufacturer for a team of up to 15 that wants a published price and a trial. Pick InstantGMP's EBR system for one annual license that adds inventory and room logs. Pick BatchMaster for a growing mid-market maker that wants cloud or on-premise ERP and will book a demo.

When electronic records are too early

For a dietary supplement, 21 CFR 111.605(b) lets a maker keep original records, true copies or electronic records, so complete paper records are allowed. BatchBuddy's own guide says a small maker does not legally need an electronic batch record in most cases. Start with a batch record template, and read what are electronic batch records for the definition.
